Meeting Information

Meeting Registration, Accommodation and Meals are in Alcuin College (Number 20 in the legend). Alcuin College is sign-posted off the main University Road.

Meeting Lectures and Posters are in the Department of Chemistry (Number 14 on Legend, next to Alcuin College). Central lecture theatre is Room C/A101. Posters adjacent in C/A102. These locations are ~2 minutes walk from Alcuin College.

 

Registration: In Alcuin College Entrance Foyer from 11am to 2pm on Wednesday April 5th.

Arrivals after this time will be registered in the Department of Chemistry.

 

Accommodation: Check-in at Alcuin College Reception at the main College entrance.

 

Early Arrivals Late Departures: No meals are available on Campus. However, there are 2 pubs on Main Street in Heslington Village (bottom right hand quadrant of Campus schematic, 10 minutes walk from Alcuin College) which serve food and are open til 11pm. The City of York has many restaurants and bars.

 

Parking: Temporary parking on arrival available at Alcuin College. Main parking for the delegates is in Car Park B (across the University Road, accessible by Foot Bridge). Please fill-out and display the enclosed Conference Parking Permit. This car park is a very short walk from the meeting locations given above.

Scientific Programme: Starts at 2pm on Wednesday April 5th and ends at 4.30 on Saturday 8th April. Access to meeting rooms is not available until 1.50pm, due to a prior meeting in the same facilities.

 

Posters: Posters may be set up between 6.30 and 7pm on Wednesday April 5th. Velcro attachments will be supplied.

 

Conference Dinner: To be held at the National Railway Museum in York at 7.30 on Friday April 7th. Coaches (at 7pm) will be provided for transport. Directions for independent travel can be obtained from meeting staff. There will be an opportunity to view the exhibits at the museum.

General Information
Arrival / Departure: On arrival visitors collect their bedroom key from the College staff. There is no deposit on keys, but a charge will be raised if keys are not returned. Bedrooms must be vacated and keys returned to the College Reception by 9.30 am on the day of departure. Luggage may be left adjacent to Reception.

 

Badges: Conference delegates are required to wear name badges at all times, for security reasons and for catering identification.

 

Bedrooms: All bedrooms have en-suite facilites (shower, toilet, wash basin), a 13 amp socket and a shaver point and are serviced daily (ie. beds made, bins emptied and washbasins cleaned). Visitors are provided with a welcome pack (containing soap, shampoo, shower gel and a shoeshine) a bath mat, disposable cups and two towels. Coffee, tea, sugar, milk sachets and a kettle are provided in the bedroom.

 

Emergency procedures: Visitors are required to familiarise themselves with the University's Emergency Procedures, which are displayed in each bedroom and in the main entrances to each building.
Gratuities: The practice of giving gratuities is discouraged.

Security: Security staff are on duty 24 hours a day to help in emergencies and provide information (see reporting of accidents/ incidents below).

 

Travel Office NYS Travel is based in Vanbrugh College on the University Campus and will assist with travel arrangements. Their telephone number is (01904) 433233.

 

Telephones: There are coin-boxes and card phones in each college for outgoing calls. Private lines can be arranged, if required. In an emergency, contact can be made through the appropriate college reception.

 

Valuables: Arrangements can be made with the College Bursar to deposit valuables in the College safe.

Medical and safety arrangements
Medical assistance: Visitors in need of medical assistance should contact Reception /Security Centre who will arrange the appropriate medical help. Each Reception desk is equipped with a first-aid container and there is a Health Centre on campus.

 

Reporting of accidents /incidents: Should an accident, criminal act or suspicious incident occur on University premises it must be reported without delay to the Security Centre (01904) 434444.

Facilities and Amenities
Banks: Barclays, Lloyds, Midland and National Westminster banks have branches in nearby Heslington village, all with cash dispensing machines. The Midland Bank and the Co-op Bank have a cash dispenser outside Vanbrugh College and Goodricke College respectively

 

Bars: University bars are licensed until 11 pm each day. Late extensions to opening hours can be arranged through the Conference Office.

 

Laundry: Laundry facilities are available in colleges and an electric iron may be borrowed from Reception.

 

Nursery/creche: York Campus Nursery can offer places for children (aged 2-5) by prior arrangement (01904) 433737. Alternatively, a ground floor room can be reserved for use as a creche.
Shops: A Post Office and a general store are available in Heslington Village. Stationery is available from The University Bookshop, (open Monday to Saturday) next to the J B Morrell Library, and the Students' Union Shop (open Monday to Friday) in Vanbrugh College.
Sports facilities: We have an extensive range of sports facilities and indoor competitions can be arranged in the Sports Centre. Further information and current rates are given on a separate sheet.
Vending machines: Hot and cold drinks, confectionery and cigarettes are on sale in vending machines in each college and in other University buildings.
